Administrative Council Meeting
September 8, 2009*
Larry Wilson called the meeting
to order at 6:36 p.m. Others present were Bert Wilson, Grace
Olson, Verlene Slack, Marjorie Surface, Nancy Snyder, Mary Ann Jones,
Jerry Jones, Larry Davis, Carroll Bidler, Christine McFarland, Pat Lee,
Dee Ann Wilson, Gerald Klinkefus, Todd Treese, Pastor Bob Culbertson
and Julie Kennedy.

Minutes: Motion to approve by Carroll Bidler, seconded by Larry Davis. Approved.
Pastor’s Report: Pastor Bob
informed us that the Outreach Committee is looking at the possibility
of a trip to Kansas City next June. He also asked for assistance
in reviewing information for him to include in the form to be filled
out for the charge conference.
He told us that it has been proposed
that we combine the Outreach and Stewardship areas beginning next
year. Our discussion of the pros and cons of this proposal is
invited. The first question to come up was a description of the
current duties of each. Currently Outreach is our work in
connection with parties outside of our church. Stewardship
pertains to our work within our own church. People present who
have worked on those committees were able to add a little more based on
their past participation. Nancy Snyder felt that this was a
logical merging that she felt was needed. Dee Ann Wilson told us
that when she was on that committee they were active in presenting the
concept of time and service as well as financial support to the
children’s education process. It was felt that the children were
very accepting of this information. After much discussion Pastor
Bob made the motion to combine the areas for the next year, it was
seconded by Pat Lee and was approved.
Treasurer’s Report:
Treasurer Mary Ann Jones reported that all apportionments were paid
through the end of August. She gave us a brief explanation of
figures that she thought needed additional information. One of
the items she pointed out was the Fellowship money of $373.04 under the
Proclamation area. It was suggested that funds be drawn from that
account for the special honors planned on November 8th for the World
War II veterans. All Vets will be honored but special attention
will be paid to those from World War II…cake, coffee, etc. after church
that day. Pastor Bob told us that his “discretionary fund” is
used when people come to the church for miscellaneous aid. For
example a lady came in needing help. She and her children were
stranded in a motel without funds. He went down and pulled some
food from the Food Pantry items and gave them to her. Usually
money given out is less than $20.
Pat Lee inquired whether Mary Ann
had received a bill from the plumber for the work he did to certify
that the parsonage sump pump for basement water leakage repair was
completed to code. By having him do this we are able to get a
$1,000 rebate from the City. That bill was received and has been
paid.
Memorials: Money
that was given in honor of Jean Yungclas at her birthday party has been
designated to go to the choir robe fund. It has been requested
that money be made available from the Memorial Funds to purchase an
additional refrigerator for the kitchen in East Fellowship Hall.
The freezer currently there has not been used for some time since it
uses about $9 per month in electricity when it is running and not
full. The UMW has made this request since adequate refrigerator
space would be much more beneficial. After Arvin Olson does a
test to determine electricity usage for the old chest type freezer on
the west side of the church a determination will be made on which unit
to keep. The other unit may be sold in the rummage sale in
October. Larry Davis made a motion to approve this action, it was
seconded by Jerry Jones and approved.
Finance Report: Carroll Bidler had no report.
Verlene Slack reminded us that Rally Sunday is September 13th.
Events planned are: potluck (drink to be furnished), Southern Gospel
Music during the service, miniature golf, limo rides and kite assembly
for the children.
Endowment: No report.
Finance:
Jerry Jones reported that Scott Davis and Jerry Ferguson will lead the
church pledge drive October 15th through the 17th. He also
reported that a $15,000 grant was secured for the computer lab at
Windsor School. Bravo!
Staff Parish:
Dee Ann Wilson turned meeting over to Jerry Jones. It has been
brought to our attention in the past that even though additional funds
were approved for extra custodial work when necessary, Todd Treese and
his family perform extra duties as needed but have only asked for $60
in extra pay. After discussion, Dee Ann made a motion that an
extra $940 be split up and paid to him over the next eight payrolls,
seconded by Carroll Bidler and approved unanimously. Thanks to
the Treese family for their commitment to our church.
Trustees:
Pat Lee reported a meeting with SEI Security and they will be getting
back to us with figures. Also, trash removal service figures will
be coming shortly. People from the church are currently working
on scraping windows in preparation for paint. We need one more
person to be trained as backup for the HVAC computer control system.
Scott Davis and Rick Higgins will be developing a regular thirty day
maintenance checking check list for the system so that any issues
can be addressed before they become serious problems.
UMW:
Grace Olson reminds us that the Rummage/Bake Sale will be held on
October 22nd thru the 23rd. Help will be needed to assist in set
up on the Sunday prior to the sale and also for break down on the
23rd. She hopes that the new refrigerator will be in place prior
to the Rummage Sale as it will be needed.
She also notes that the roasters
have been put in a kitchen cupboard as they never seem to make it down
to the basement. The cupboard has been marked. Also, thanks
to all of the circles for providing coffee and cookies all summer.
Outreach:
Chris McFarland reports that school supplies and clothing have been
delivered to Windsor School in time for the school opening for the new
year. If anyone knows of a source of additional clothing for
children, please ask if they would be willing to donate to the
cause. A date has not been determined as yet but a family meal
will be served some evening at the school.
Stewardship: Nancy Snyder had no report.
Proclamation:
Jerry Klinkefus told us more about the special recognition planned for
Veterans on November 8th. As stated earlier in this report a
reception following church will be held with special attention given to
the World War II veterans. One of our church members who was on
one of the flights to Washington, D.C. to see the monument will be
asked if he is willing to speak to us about the experience.
Old Business: A special thanks to Todd Treese for the paint for the windows.
New Business:
We are asked to remember that our Boy Scout Troup is planning a
spaghetti dinner on October 11th. This will be a fund raiser for
a trip to Yellowstone next year. Also, the Charge Conference will
be held here on November 8th from 1 p.m. to 5 p.m. Refreshments
will need to be served.
