Facility
Use Policy

I. For purposes of this policy, member use shall be
defined as a gathering to honor a Church
member, a member of a Church members
family or a gathering of a non-profit organization
sponsored by a Church member.
II. Reservations
1. Facility reservation request forms are
located in the Church office.
2. Persons requesting to reserve the
facilities are encouraged to return reservation request
forms to the Church Secretary no less than
two (2) weeks prior to the requested date of use.
3. The Pastor is responsible for approving
and/or denying facility reservation requests.
4. In the absence of the Pastor, the Board of
Trustee Chairperson is responsible for approving
and/or denying facility reservation
requests.
5. In the absence of the Pastor and Board of
Trustee Chairperson, the Vice-Chairperson is
responsible for approving and/or
denying facility reservation requests.
6. Persons reserving the facilities must sign
a copy of this policy indicating their understanding
and agreement to comply
with the requirements as stated herein.
7. Reservations for facility use shall be
recorded on a designated calendar posted in the Church
Secretarys
office.
III. Facilities
1. This policy includes the following:
a. Sanctuary:
To help offset the
costs of air conditioning, heating, lighting and other utilities, the fee for use
of the Sanctuary shall be
$75.00. This fee does not include extra fees required due to
damages, missing
property or additional
cleaning. The person reserving the Sanctuary shall
be responsible of protecting
Church property and
flooring from candle wax. The person
reserving the Sanctuary shall also be
responsible for
cleaning and removing all decorations
immediately following use unless prior
arrangements have been
approved by with the Board
of Trustees. There shall be no charge for the
Sanctuary when used for
a funeral.
b. Fellowship Hall:
To help offset the
costs of air conditioning, heating and lighting, the fee for use of the
Fellowship Hall
shall be $100.00.
This fee does not include extra fees required due to
damages, missing property
or additional cleaning.
The person reserving the Fellowship Hall
shall be responsible for cleaning
and removing all
decorations immediately following use
unless prior arrangements have been
approved by the Board
of Trustees. There shall be no
charge for the Fellowship Hall when used for
a family meal following
a funeral or as a place
for family gathering during the viewing in the Church.
c. Education Wing:
To help offset the
costs of air conditioning, heating, lighting and other utilities, the fee for use
of the Education Wing shall be
$100.00. This fee does not include extra fees required due to
damages, missing property or
additional cleaning. The person reserving the Education Wing
shall be responsible for
cleaning and removing all decorations immediately following use
unless prior arrangements have been
approved by the Board of Trustees. There shall be no
charge for the
Education Wing when
used as dressing rooms for a wedding in the Sanctuary
or for a private family
area used prior to or
following a funeral.
d. Recreation Area:
The fee for use of the
recreation area shall be $25.00. Recreation Area equipment may not
be moved without prior
Board of Trustee approval. The person reserving the Recreation
Area shall be responsible for
cleaning paper plates, paper cups, etc. immediately following
use. There shall
be no fee charged for
member use of the Recreation Area.
e. Parking Lots:
The fee for use of the
Church parking lots shall be $25.00. This fee shall be waived if the
Sanctuary, Fellowship Hall,
Education Wing or Recreation Area have been reserved. The
person reserving the
Parking Lots shall be
responsible for cleaning immediately following use
unless prior arrangements
have been approved by
the Board of Trustees. There shall be no
fee charged for member use of the
Parking Lots.
f. All Furnishings:
No additional fee is
required for use of furnishings. Removal of furnishings from Church
buildings shall be prohibited
except for member use of the "old" tables which may be used
with approval
of the Pastor, or, in
the Pastors unavailability, the Board of Trustee
Chairperson or, in the
Chairpersons
unavailability, the Vice-Chairperson. Members using
the "old" tables shall
be required to pay
additional fees for damages.
g. Dishes & Silverware:
The fee for use of
dishes shall be $25.00. Following use, the user is required to wash the
dishes and replace them in the
proper cabinet or drawer. This fee does not include extra
fees required
due to damages or
additional dish washing. Removal of dishes, including
silverware from the
building is prohibited.
There shall be no fee charged for member use of
dishes and silverware.
h. Hymnals:
Removal of hymnals,
given as memorials, from the Church is prohibited. Removal of other
hymnals from the Church shall
be permitted at the Pastors discretion.
IV. Cleaning
1. For reservation of the Sanctuary,
Fellowship Hall and Education Wing, an additional $50.00
each shall be deposited to
cover additional cleaning required. If the facilities are adequately
cleaned as determined by the
Pastor or, in the Pastors unavailability the Board of Trustee
Chairperson or,
in the
Chairpersons unavailability, the Vice-Chairperson, the deposit shall
be refunded.
V. Damaged or Missing Property
1. Property reported damaged or missing shall
be assessed by the Pastor who shall be
responsible for determining whether
the damaged property can be repaired to its original
condition or should be
replaced. Upon
this determination, the Pastor shall be responsible for
notifying the person
responsible for
reserving the facilities of the estimated repair or
replacement cost. The Pastor
shall be responsible
for determining replacement cost of
missing property. The person responsible
for reserving the
facilities shall be required to pay
additional fees for damaged or missing property
as determined by the
Pastor.
VI. Tobacco, Alcohol & Firearms
1. Smoking in Church buildings is prohibited.
2. Alcoholic beverages are prohibited on
Church property.
3. Firearms are prohibited on Church
property.
VII. Church Members
1. Facility Use:
First United Methodist
Church members shall not be charged for facility use when sponsored
by them but, to help
offset the costs of air conditioning, heating, lighting and other utilities,
members are encouraged to make
a donation for each facility used.
2. Cleaning:
For reservation of the
Sanctuary, Fellowship Hall and Education Wing, an additional $50.00
each shall be deposited to
cover additional cleaning required. If the facilities are adequately
cleaned as determined by the
Pastor or, in the Pastors unavailability, the Board of Trustee
Chairperson or,
in the
Chairpersons unavailability, the Vice-Chairperson, the deposit shall
be refunded. A
copy of the signed page (i.e.,
Page 4) shall be filed in the Church office.
3. Regular Worship Service attendees
who have not formally joined the Church shall be
considered Church Members for this
policy.
VIII. Exceptions
1. Because of the evangelistic benefit in
having the Church facilities used for Ms. Shirleys
Preschool Christmas Party,
Graduation Ceremony and preschool events, Ms. Shirleys
Preschool shall not
be charged for facility
use but, to help offset the costs of air conditioning,
heating, lighting and
other utilities, is
encouraged to make a donation when used.
