WHAT YOU NEED TO KNOW

NEJ—QUADRENNIAL MEETING

JUNE 14 – 16, 2012   Hershey PA

Registration

Online Registration

Registration forms may be mailed or submitted online.

·         Registration with Housing---Deadline--May 1, 2012, or when seating capacity is reached-----Late fee (after May 1) will be $50.     Meals included with registration are listed below

·         Commuters---must register by May 15---late fee (after May 15) will be $50

o        Restaurants and cafes are available for your use or you can reserve meals with the group---Friday lunch is include with your registration fee.     There will be a sitting area available---for your use during break times

·         Confirmations will be emailed to you---make sure that your email address is written neatly on the registration form

Confirmations for persons without email addresses will be mailed

·    Meals

·         Thursday dinner is on your own—restaurant listing will be in the confirmation

·         Included with registration with housing:

o        Friday:  Continental Breakfast,  Box Lunch,  Plated Dinner  

o        Saturday:  Continental Breakfast

·         If you wish to arrive early or stay late-----checkmark the “Extra nights” line on the registration form.  You will receive instructions   in your confirmation.

 Schedule

·         Meeting registration begins at 1:00 on Thursday---The Great Lobby/Convention area

·         Hotel check-in begins at 4:00pm on Thursday---Main Lobby

·         Jurisdiction Leadership Team nominees orientation—2:30pm, Thursday—red room

·         Voting delegate’s orientation—3:00pm, Thursday-- red room

·         Jurisdiction Choir---first practice—3:30pm, Thursday---white/blue room

·         Women’s Division Nominees orientation---4:00pm, Thursday---red room

·         Practice for communion 4:30pm, Thursday--white/blue rooms

·         Meet & greet of voting delegates and WD nominees---9:30pm,  Thursday---Wild Rose AB room

·         Practice for collection of offering—8:00am, Friday--- white/blue room    

·         Resource room will open---11:00 am on Thursday—Cocoa Suite 6    

·         Display area will be open at all times

·         Meeting begins at 6:15pm on Thursday---White & Blue rooms

Shuttles and Charter Bus Info

·         Shuttle from Harrisburg airport or train station:  Make your shuttle reservation by June 1, 2012 by calling 717-534-8601 (Hershey Lodge concierge).  Cost will be approximately $40 round trip----make you reservation for the round trip when you call.  You will need to know the arrival date & time (Harrisburg) and departure date & time (Hershey Lodge).  Shuttle fee will be billed to your room.

·         Chartered Bus--- The hotel requires a one time $6 per person luggage handling fee---luggage will be delivered to your room and will be taken back to the bus on departure day. This helps alleviate congestion in the driveway and entrance.

·          

Bringing the Family?

·         Families may stay with you—there are lots of things for them to do while you are at the meeting
See Hershey Attractions sheet.   On the registration form, check mark the “Single with family”  option

·       If you need baby-sitting---check mark the “Child Care Needed” line and complete the registration form for children

Young Women’s Conference  - Ages 16-29   

·        Several workshops will be offered on Friday that are of interest to young women.  Young women may come and go, as desired, between the special conference and the regular meeting.

·                (Possible sessions---Is Your Legal House in Order,  How to Manage your Finances,  Caretaking, Women’s Health Issues,  Q & A with a Bishop,  Storytelling,  Spirituality,   UMW 101,  Hands On Mission Opportunity, Human Trafficking) 

Mission Walk

·        There will be Mission Walk (probably on Friday morning) to raise money for the 9 National Mission Projects in the jurisdiction.  Women are asked to find sponsors, collect the money, and bring the money to the meeting. The walker must estimate the amount of time or the distance that they think they will walk.  The amount collected can be a lump sum, can be an amount per mile, or can be an amount per length of time.    Bring the collected money to the registration area----there will be a collection container. (Checks made out to UMW)     Bring your pedometer---we will tally the number of miles walked.   

Extra Tidbits of Information

·        Parking is available, free of charge with registration

·        Elevators and escalators are available in all parts of the Lodge

·         Bring a list of your medicines, medical conditions, emergency phone #, name and phone

number of your doctor----keep the list in your name tag holder at all times

·         Jurisdiction Offering---will be collected for Mission Giving.  Please urge your unit to make a contribution to the Jurisdiction Offering.  The offering will be collected during a worship service.  (Checks made out to UMW)

·         Jurisdiction Choir—anyone is welcome to participate.  The first practice time is Thursday, June 14 at 3:30pm in  the white/blue room.  The choir will probably sing during the closing worship on Saturday morning.
