MEETING NOTES August 22, 2007

 

OPENING & DEVOTION

Howard opened the meeting with prayer at 7:05. 

Attending: Howard Albrecht, Kevin Plasterer, Joe Hockersmith, BJ Wyrick, Rod Shaffer, Heather Deutsch, DeAnn Pugh, Brenda Gabler.  Guests present: Louise Holtry, Kathy Halter (Council).

 

REVIEW OF PREVIOUS MEETING NOTES

            Kevin Plasterer motioned to accept the notes from the 8/8/07 meeting as presented, Joe seconded, and meeting notes were unanimously accepted.

OLD BUSINESS

            Update – Contract with B & H – Howard updated everyone that since the last meeting with B&H in July and our last meeting, August 8, 2007, all activity surrounding proceeding with the predevelopment phase of the building plans has been put on hold.  He noted that this was to provide the Capital Runway Campaign Committee the same type of lead time that the Building Committee has had to date.  Howard noted that he presented to Council last evening the predevelopment costs incurred to date from B&H, and that a payment plan is being worked out.  The importance of this is to show B&H our good faith, and enable us to pickup this stage of the predevelopment phase of construction as soon as we are able.  Howard also said that B&H have agreed to provide us with CDs of the plans drawn to date for our use during the presentation to the congregation. Howard also noted that B&H has been very fair to us in terms of calculating costs incurred; they have included only the new costs incurred to date, giving us credit for the amount we paid them for the initial plans they drafted for the Study Committee ($12,000), and only including the costs of the actual time spent surveying by the civil engineer.  The amount being paid now will be credited toward the completion of this phase of the project once we resume, which in turn is part of the overall building project costs.  This means we have not and will not lose any of the money that we have invested to date.

           

 

NEW BUSINESS

            Presentation Outline and Discussion – Howard said that as a follow-up to our last meeting, with regard to Pastor Kevin Hughes’ suggestion of a conducting a Church Information Meeting, we brainstorm on a presentation outline.  Howard suggested that the Building Committee assume the lead in this activity, and share this with Council, Trustees, and Capital Runway, to ensure everyone is in agreement and comfortable with our approach.  Howard asked if those in attendance concurred with this approach; all were in agreement.

 

Howard said that he would like us not only to outline the presentation in terms of both logistics as well as content, noting particular points that need to be addressed and/or brought out during the presentation.   Attachment 1 is a draft of the brainstorming session which everyone was asked to review and to get comments back to Howard for inclusion.  This will be prepared in a power point presentation style, with copies as handouts for the presentation.  Howard will also check with Tom Whisenand about having all materials available on the Church website upon conclusion of the presentation.

 

Howard will contact Amy to check with Kevin’s schedule regarding conducting the presentation immediately after 9:00 Sunday service on October 7, 2007.  Brenda and Kathy Halter will work with Sunday school teachers regarding cancellation of Sunday school classes for grades 4 through adult that Sunday, and Brenda, Kathy, and Louise will coordinate verify that Nursery and grades preschool through 3 will be available that Sunday.

 

All were in agreement that Church leadership in this presentation (Building Committee, Council, Trustees, and Capital Campaign) schedule a dry run/rehearsal prior to October 7, 2007.  Additionally, the Building Committee would use its normally scheduled meetings during the months of October and November as open forums for interested members of the congregation to review the sketch plans and ask questions.
