PRELIMINARY JOB DESCRIPTION

FOUNTAIN VALLEY UNITED METHODIST CHURCH

ADMINISTRATIVE ASSISTANT

 

TITLE: Administrative Assistant

 

HOURS: 9:00 AM-1:00 PM, Monday-Friday

 

PURPOSE: Provide part-time clerical and administrative support for the pastoral staff, lay leaders, and members of the church.  In addition, oversee a team of office volunteers.

 

ACCOUNTABILITY: Accountable to the Senior Pastor and works under the supervision and guidance of the Administrative Pastor.

 

QUALIFICATIONS:

1.            Has a mature personal faith in Jesus Christ as Lord and Savior and shares in the ministry goals of the church

2.            Exhibits excellent interpersonal skills with an ability to meet the public and maintain a warm, positive attitude with staff, church members and the community

3.            Able to answer questions in person and by phone, and route calls and mail effectively

4.            Able to maintain confidentiality

5.            Proficient in the use of computer programs, including word processing, spreadsheets, databases and PowerPoint, and have excellent keyboarding skills

6.            Proficient in the use of office equipment

7.            Proficient in office procedures, including filing methods, record keeping, and production and distribution of materials

8.            Demonstrates creativity and a willingness to learn new tasks and functions

9.            Proficient in the use of business English, including vocabulary, spelling, grammar, and punctuation, and able to create written communication with accuracy and clarity of facts and meaning

10.       Understand and carryout oral and written communication

 

ESSENTIAL RESPONSIBILITIES

1.            Creates an atmosphere that is inviting to all people passing through on a daily basis by maintaining a clean, attractive, and organized environment in the office and church Narthex

2.            Receives visitors, answer inquiries, provide information, and make appointments as needed

3.            Maintains a positive attitude at all times and poise under pressure

4.            Answers phone calls and transfer messages from the answering machine;  follow up on phone messages with pastoral staff or lay leaders

5.            Maintains confidentiality of relationships and records

6.            Establishes and maintains master calendar and scheduling of room reservations

7.            Maintains records as required, which may include membership, baptisms, marriages, deaths, building keys, inventory, and attendance

8.            Maintains filing system and retrieves information as requested in a timely fashion

9.            Inventories and maintains office supplies; orders supplies as needed

10.       Opens general church mail and routes designated mail to appropriate person

11.       Oversees communication of the church, which may include weekly e-letter, monthly newsletter, weekly bulletin, online calendar, prayer request letters and email list, welcome letter to visitors, visitor packets, banners and signs, special events, website updates, bulletin boards, and marquee signage

12.       Compose correspondence and reports as requested

13.       Develop and oversee a team of office volunteers

14.       Assist lay leaders and teachers as needed, which may include post card reminders of meetings, ordering supplies, scheduling appointments needed for building inspections and maintenance, and making copies of materials needed for meetings, classes, etc.

15.       Participate in staff meetings as needed by pastors

16.       Perform other standard office procedures as requested

 

SALARY: $13.00-$16.00 per hour

 

TERMS: There is an introductory period of up to six months for this position.

 

NOTE:  If the responsibilities include use of personal car to go to post office or pick up supplies, etc, the church would/may be responsible for paying mileage and has not been included.
