PACKING INSTRUCTIONS


BEFORE YOU START TO PACK:

 1. Consider carefully the condition and appropriateness of the items you want to send. 

        ¨      Have they been requested?

        ¨      Are they on a needs list? 

Do not send books and supplies that cannot be used.  If in doubt, check with

2.  If you are sending only books, skip to "STEPS IN PACKING "

 If you are sending other items, make sure it has been cleaned and reconditioned and is ready for use. Please do not send it otherwise. Along with typewriters, send additional ribbons; with mimeographs — send supplies. 

 

*****Important: Please send an operation manual along with each item of equipment, if available.*****

 3. Be sure you know the quantities of the items you will be packing.  You will be putting this information on your packing list.   We need to have specific information.

 4. Do not send visual aids unless they have been requested.   Such things as movies and filmstrips are useless if the school has no projector, no electricity. 

 5. Be sure the YES and ET kits are complete, or that a notation is made on the packing list if something is missing.

 Please do not mix empty bags with filled bags in a box, unless you have clearly indicated this on your packing list.  If you are shipping empty YES bags, please note that they are EMPTY YES Bags.

 6. If you are sending clothes, be sure they are lighter-weight clothes and are clean and in excellent condition.

7. New Testaments for YES and ET kits may be ordered from the OC Office.  They will be sent to you so you can complete your shipment.  We are no longer including dictionaries in the Kits.

 

STEPS IN PACKING:

 1. Except in the case of large items such as typewriters, mimeographs, or computers, be sure one person can handle the box you are packing.  We recommend a box approximately 10x12x18, about the size moving companies use for books.   However, such items as homecoming kits, lunch kits etc., can use larger boxes.

 2.  Pack all items firmly.  Do not leave loose space on top.  You may want to use some good used clothing (summer weight), or sheets, or towels as your packing material; these would then have the advantage of being useful afterwards.  Seal your box with durable mailing tape; do not use masking or scotch tape.

 Do not send partially filled boxes to the warehouse. Do not put your check to cover the shipping costs into the box; see the "COSTS" section below.

 

PREPARING THE PACKING LIST:

 1. We have a standard PACKING LIST FORM.  (Download file from "book drive" section of website.   If the file will not download for some reason, you can find the form at http://www.gbgm-umc.org/churches/operationclassroom/)

 You will need two copies for each box you will be packing. If you wish to keep a copy for yourself, you will need to make a third copy.

 2. Type or print clearly. 

 *****Please note: Each item and its quantity needs to be identified on your packing list.*****

 Be specific. Do not fill in "school supplies" or "books." List what supplies, and how many of each; what books and how many.   If there are grade levels, please indicate.   Don't list, for example, "5 pkgs. of Bic pens."  List the number of individual pens, pencils, etc. 

 

SENDING YOUR BOXES TO THE WAREHOUSE:

 1. Make a label for each box 

 The address for the label(s):

 Set label(s) aside.

 2.  Put your 2 packing list copies for that box into a manila or other type envelope.

 Attach this envelope securely to the top of the box.  Affix your mailing label to the front of the envelope.

 COSTS:

 The cost of shipping is $6.75 per cubic foot plus one dollar per box for customs.  Payment will be the responsibility of the local church or individual who donates the items (unless you or your district have made other arrangements).
